Tips for Hosting Productive Meetings

    1. Set The Tone
Be prepared! Plan your meeting in advance to encourage a stress-free schedule for all attendees. Create and distribute your agenda in advance, allowing participants to get in the “zone” and easily follow along throughout the event.

    2. Set Clear Objectives
What are your goals for this meeting? Share these details with your attendees so they have an understanding of key items and can be active participants.

    3. Encourage Participation
A great way to keep your team involved in the meeting is to have everyone involved. This could include reading out loud, using a whiteboard to write down answers or ideas, or implementing gamification of your presentation. However you choose to engage your audience, try to keep it light and fun!

    4. Meeting-Minute Buffer
After everyone arrives and settles in, give the room a chance to check their phones, emails, chat with the group before starting. This will ensure they have taken care of any potential distractions and create space for all to be present during your meeting.
    5. Remove Distractions
Going technology free is a great way to ensure your team keeps their full attention on the meeting at hand. This also creates a great opportunity to unplug and enjoy the social aspect of your time.

    6. Following Up
Don’t forget to remind the group of any action items, deadlines, or anything else that needed to be taken away from the meeting. Send a brief email within three days of the meeting – thanking your team for attending, attach any minutes taken, and include your action items and deadlines.

    7. Get Out of the Office
Taking your meeting away from the office removes distractions. When you’re in the office, so is your mind. Try hosting your next meeting away from the usual office distractions with the Gathering Place by the Grand!
